Coordinator, Foundation & Government Relations

To coordinate tracking systems for cultivation, solicitation, stewardship, and recognition of institutional donors; oversee logistics for donor cultivation activities, such as a donor visits; assist with limited financial reporting; and maintain donor database and files.
Duties and Responsibilities: 

In this role, you will be responsible for the following: 

  • Maintain tracking system for cultivation, solicitation, stewardship, and recognition of institutional donors
  • Act as liaison with CFO/finance department and donor services staff in coordinating grant documentation and Raiser's Edge donor database fulfillment
  • Write acknowledgment letters to donors and ensure these and other assigned donor communications and mailings are timely and accurate
  • Pull information from the donor database for mailings, donor lists, and other projects
  • Coordinate mailings, room reservations, catering, and other details in support of the foundation and government relations team 
  • Pull information from accounting database and assist development officers in compiling expense reports for donors
  • Communicate report deadlines to appropriate science, education, and other staff and track completion
  • Complete monthly, quarterly, and annual team reports based on existing templates 
  • Maintain department files
  • Coordinate other projects as assigned

 Our ideal candidate will have the following: 

  • Minimum of associate's degree or high school diploma with three to five years of office administrative experience
  • Excellent written, verbal, and organizational skills
  • Attention to detail
  • Ability to take directions, stay on task, work independently, learn quickly, and manage multiple projects simultaneously
  • Mastery of Microsoft Office Suite, including Outlook, Excel, and Word
  • Reputation for flexibility, efficiency, and reliability and able to work well as part of a team
  • Outgoing, friendly personality, and good people skills
  • Ability to work some evenings and weekends as required (approximately 15 events per year)
  • Development and finance experience a plus
  • Raiser's Edge donor database experience a plus
Physical Demands: 
Office setting. Frequent sitting, standing, walking, bending, listening, speaking, and keyboarding. Use of office equipment, including computers, telephones, copiers, scanners, and fax machines. Some requirements for lifting, pushing, or pulling items less than 30 pounds.
